A Fair & Considered Approach

At Orlando Village, we believe everyone should have access to safe, supportive student accommodation and recognise that people’s circumstances and experiences can change over time. Having a criminal conviction or previous involvement with the criminal justice system does not automatically prevent someone from living at Orlando Village.

We aim to consider applications fairly and individually, balancing the needs of the applicant with our responsibility to maintain a safe and respectful living environment for all residents, staff, and visitors.

With a friendly team based on-site and 24/7 staff presence, support is always close by. From helping you settle in to sharing local tips and organising events throughout the year, we’re here to help you make the most of your university experience at Orlando Village.

1. When Should I Tell Orlando Village?

Applicants are encouraged to disclose relevant information if they believe it may affect their suitability to live within a shared student accommodation environment.

Examples of information that may be relevant include:

• Incidents involving violence or threatening behaviour;
• Serious safeguarding concerns;
• Offences involving harassment or sexual misconduct;
• Offences involving the supply of controlled substances;
• Incidents that may reasonably impact the safety or wellbeing of others within a communal living environment.

Applicants do not need to disclose matters that are not relevant to accommodation or matters which are not legally required to be disclosed.

If you are unsure whether something should be declared, we encourage you to contact the Orlando Village team in confidence before submitting your application.

2. What Happens If I Make a Disclosure?

This review is intended to support fair decision-making and does not mean an application will be declined.

Depending on the circumstances, Orlando Village may:

• Approve the application with no further action;
• Request further information from the applicant;
• Request an optional character reference;
• Consider reasonable support measures;
• Complete a risk assessment where necessary.

3. What Does Orlando Village Consider?

Each situation is reviewed individually and may take account of factors including:

• The relevance of the matter to shared student accommodation
• The nature and seriousness of the circumstances
• How long ago the incident occurred
• Whether this was an isolated event or part of a pattern
• Any evidence of positive progress or changed circumstances
• Information provided by the applicant;
• Any support measures that may reduce risk.

4. Appeals

Applicants may request a review of a decision by contacting Orlando Village within 14 calendar days of being notified.

Any review will consider additional information provided and will be completed by a manager who was not involved in the original decision where reasonably possible.

5. Confidentiality & Privacy

Any information provided will be handled confidentially and processed in accordance with Orlando Village’s Privacy Notice and applicable data protection requirements. Information will only be accessed by authorised staff and used for purposes connected with accommodation suitability, safeguarding, resident welfare, and legal obligations.

Risk Assessment Process

Where additional review is required, Orlando Village will follow a proportionate internal process.
